We are assisting in the recruitment of a highly organized and detail-oriented Office & Events Coordinator to support a local company. This role is ideal for a proactive professional who thrives in a fast-paced environment and enjoys balancing administrative support, database management, and event coordination responsibilities.
Position Overview
The Event & Office Operations Coordinator plays a vital role in ensuring smooth daily office operations while managing registration databases and supporting event logistics from start to finish. This position requires strong organizational skills, technical aptitude, and the ability to manage multiple projects simultaneously.
Key Responsibilities
General Office Support

Answer multi-line phone system and provide professional, courteous customer service

Maintain office operations, including ordering supplies and overseeing electronics, phone systems, printers, and postage equipment

Coordinate shipping of registration materials and event-related items
Database Management

Create and maintain registration databases, making updates as needed throughout each event lifecycle

Process and manage paper registration forms

Track payments, manage registration changes, collect additional funds, and process refunds

Generate and manage attendee reports

Troubleshoot software and database issues

Track final guarantees and refunds

Provide database guidance and support to clients
Event Management

Maintain master checklist to track progress of all events

Prepare and manage all event registration print materials

Create spreadsheets, reports, tickets, agendas, and specialty inserts

Ensure accurate accounting and reconciliation of registration data

Provide final registration information to vendors

For select events:
-
Create both paper and online registration forms
-
Track event data and payments
-
Prepare final client accounting
-
Distribute funds as directed

Job Requirements
Qualifications

Proficiency in Microsoft Office Suite (Excel required)

Strong organizational and time-management skills

Excellent attention to detail and accuracy

Professional communication skills, both written and verbal

Experience with database management and/or event coordination preferred

Ability to manage multiple deadlines in a fast-paced environment
